The Australian Institute of Ecological Agriculture exists to support the regeneration of soils, ecosystems, communities and farming livelihoods through education, collaboration, and practical action. We are seeking a warm, organised and purpose-driven Community & Programs Coordinator to help nurture the relationships, learning opportunities, and operations that enable the Institute to flourish.
This role is ideal for someone who enjoys connecting people, creating order behind the scenes, and contributing to a values-led organisation working for a healthier future.
Purpose of the role
The Community & Programs Coordinator is the welcoming first point of contact for many members, students, scholarship applicants, and accreditation applicants. The role supports the smooth delivery of education programs, accreditation processes, membership services, and board operations, helping ensure that everyone engaging with the Institute feels informed, supported, and connected.
Key areas of contribution
Supporting learning and educational opportunities
Working alongside the Education Committee and course facilitators, you will help coordinate the Institute’s learning programs and scholarship activities.
Calvin Muller Scholarship
Respond to scholarship enquiries and connect applicants with the Education Committee.
Collate scholarship applications and provide them to the committee for assessment.
Coordinate interview scheduling and applicant communication.
Notify applicants of outcomes in a respectful and timely manner.
Human Ecology Course
Respond to course enquiries.
Provide basic administrative and technical support for course delivery.
Help facilitate participant communication, including management of the course WhatsApp group.
Supporting accreditation pathways
You will assist prospective accreditation applicants through an organised and welcoming process.
Respond to accreditation enquiries and refer applicants to the Accreditation Committee where appropriate.
Maintain application records and supporting documentation within the Institute’s digital systems.
Coordinate accreditation interview scheduling and related communication.
Nurturing our membership community
You will help create a positive experience for both new and existing members.
Manage membership administration through Wild Apricot.
Process membership applications and provide information to the Board for approval.
Welcome new members and help them feel connected to the Institute.
Follow up with members whose memberships have lapsed.
Strengthening communication and engagement
You will help keep the IEA community informed and connected.
Maintain current information on the IEA website, including events, resources, and relevant updates.
Monitor shared email accounts and ensure enquiries are directed appropriately.
Supporting effective governance
Working closely with the Board, you will contribute to smooth governance processes.
Liaise with Board members in the preparation of meeting agendas.
Prepare and distribute meeting papers as required.
Attend Board meetings and record accurate minutes and actions.
About you
We are looking for someone who:
communicates warmly and professionally,
is highly organised and reliable,
enjoys supporting people and coordinating details,
is comfortable using digital tools such as Google Workspace, Zoom and membership platforms,
can manage multiple tasks with care and attention to detail,
and has an interest in ecological agriculture, education, community development or regenerative systems.

Position details
The successful candidate will be engaged as a contractor (i.e., not an employee). This will require the following:
ABN held in the candidate’s name (or related entity)
Current insurances for public liability and professional indemnity
As a contractor, superannuation and workers compensation insurance is not provided. A copy of the contractor agreement can be provided upon request.
